Anonymisation is a type of privacy protection where personally identifiable information, like a user's name, phone number or email are removed from the system, redacted or masked to maintain the privacy of individuals.

Anonymisation of resigned users’ data

The Anonymisation of resigned users’ data is set up in the Data Protection Settings of the General Settings tab in the Administration.

Ticking the checkbox “Anonymise data for resigned employees automatically” enables the feature. You can enter how many months should pass after employees’ resignation before their data gets anonymised

The number of months recommended is different from country to country and based on how long the data is needed. You can define a period after which the user’s data is anonymised, according to your region’s practice. 60 months (5 years) is recommended for Denmark.

To confirm the selected feature, press save. Once anonymisation is enabled, the first users will be anonymised the following night. When the defined anonymisation term has passed, personal information such as first and last name, email and personal addresses will be changed into Anonym in the user’s usercard.

Manually anonymisation

Anonymisation can also be done manually from the usercard.

Important: information that is important for salary calculations and general insights on a store’s performance such as hours/week, salary, the title of the employee and the birth date will remain intact.

The option hide colleagues’ shifts on confirmed days is enabled in the same field as the Anonymisation feature.Ticking the checkbox hide colleagues’ shifts on confirmed days enables the feature.

To confirm the selected feature, press save. After the feature is enabled, employees, unless they can edit the schedule, will only see their own working hours on confirmed days – their colleagues’ working hours on confirmed days will be hidden (picture below).

Employees with full access to the schedule will still see their colleagues’ shifts on confirmed days, also like in the picture below.
